Three Engagements in More Detail

A Penang Family's Pre-Appointment Sorting

CHALLENGE

An adult daughter needed to prepare for an administrator appointment with roughly 800 unsorted documents from her late father's home — spanning 30 years and multiple box sizes, with no index.

APPROACH

Heirlune completed a sorting and indexing engagement over four weeks. All items were sorted by type and decade, rehoused, scanned and registered. A handover walkthrough identified which items were most relevant to the appointment.

OUTCOME

The daughter arrived at her appointment with an indexed folder of relevant documents and a complete register. The administrator noted she was unusually well prepared. The process that had taken the family weeks of partial searching was resolved before the appointment.

A Multi-Location Family Archive in George Town

CHALLENGE

Four siblings across Penang, Kuala Lumpur and Singapore needed access to their parents' complete collection of papers. Physical documents were in one location; no sibling had time to manage the collection in person.

APPROACH

Heirlune conducted an eighteen-month archive programme: full sorting, digitisation, register, shared permissioned archive and three maintenance rounds. The written family record note described each part of the collection for the benefit of the siblings who had not been present during sorting.

OUTCOME

All four siblings have independent access to the archive. Documents have been retrieved by each sibling at different times without requiring coordination between them. The bound archive file was delivered at the close of the programme.

Using the Terminology Library Before an Administrator Meeting

CHALLENGE

A woman in Butterworth had received a letter from an estate administrator using terminology she did not understand. She did not want to ask her solicitor to explain basic vocabulary — she wanted to understand it herself first.

APPROACH

She subscribed to the Terminology Library and used the term explainers and form walkthroughs to work through the administrator's letter, identifying which parts referred to which public forms and what each field was asking for.

OUTCOME

She attended the administrator's follow-up meeting with a clear understanding of the correspondence and a list of specific questions. Her solicitor spent less time on background explanation and more time on the substantive issues.
