Every Heirlune engagement begins with a conversation to understand the collection — how many items, in what condition, across how many locations — before any work is scheduled or priced. For the Terminology Library, the process is simpler: subscription access begins on the day of enrolment.
For sorting and archive work, we follow a consistent sequence: intake assessment, physical sorting by type and period, archival rehousing of fragile material, scanning, register compilation and a handover walkthrough. We do not start sorting until the intake is complete and the family has confirmed the scope.
All work is administrative and custodial. We describe what we find; we do not interpret documents, advise on their implications or act on a family's behalf. Where a document raises a question that belongs to a legal or financial professional, we note it in the register so it can be raised in the right conversation.
Quality checks run throughout, not only at the end. A second member of the team reviews the register against the physical collection before any handover takes place.
Terminology and Resource Library
A twelve-month subscription to a plain-language reference collection covering the vocabulary, document types and general administrative sequences associated with succession paperwork in Malaysia. Written for ordinary household use, not for practitioners.

Personal Papers Sorting and Indexing
A careful, hands-on engagement for boxes of accumulated personal papers — sorting by type and period, archival rehousing of fragile items, full scanning and indexing in a searchable register that records the storage location of each original. Photographs and correspondence receive the same handling as formal documents.

Multi-Generation Archive Programme
An eighteen-month programme for families building a record intended to be read by people not yet born. Full cataloguing and digitisation, a written family record note describing what each collection contains and why it was kept, a shared permissioned archive for relatives across locations, twice-yearly maintenance rounds with backup refreshes and coordination of appointment logistics with independent professionals the family engages.

Shared Across All Programmes
Confidentiality
All material seen during an engagement is treated as private. Staff sign a confidentiality agreement at hiring and per engagement.
Quality Review
A second team member reviews every register before handover. No collection leaves Heirlune without an independent completeness check.
Fixed-Scope Agreement
Scope is agreed in writing before any work begins. Changes require a separate written agreement with a revised price if applicable.
Administrative Boundary
We note but do not interpret documents that raise legal or financial questions. The register records these as items for the family to discuss with their own advisers.
Data Handling
Digital files are transferred to the family at handover. Heirlune does not retain copies of scanned documents beyond the working period unless explicitly agreed for the archive programme.
Transparent Communication
Progress is reported at agreed intervals. If scope or timeline needs to change, the family is informed before the change is made.
Programme Fees
All prices in Malaysian Ringgit (RM). Fixed fee, no hidden costs for standard scope.
