Personal Papers Sorting and Indexing

Hands-on work for boxes of accumulated personal papers. Material is sorted by type and period, fragile items rehoused in archival sleeves, everything scanned and indexed in a searchable register that records the storage location of each original. Up to 1,000 items.

Multi-Generation Archive Programme

An eighteen-month programme for families building a record intended to be read by people not yet born. Combines full cataloguing and digitisation with a written family record note, a shared permissioned archive and twice-yearly maintenance rounds.

Every Item Accounted For

Each document in our care receives a unique reference, a storage-location note and a scan. Nothing is placed in a box without being recorded first.

Hands-On Sorting

We work through material physically, separating documents by type and period before any scanning begins — a step that most families find time-consuming to do themselves.

Careful Handling of Sensitive Papers

Personal documents are treated with discretion. Access to digital files is controlled by the family, and originals are returned in labelled archival sleeves.

Our indexing produces a register you can search by name, date, document type or keyword — reducing the time spent looking for a particular item to seconds.

Plain-Language Reference

Our Terminology Library translates succession paperwork vocabulary into ordinary language, so forms make sense before a professional appointment takes place.

Multi-Location Family Access

The Multi-Generation Archive Programme includes a permissioned shared archive so relatives in different cities can view and retrieve records without additional copies being made.

What does Heirlune actually do, and what is outside your scope?
We organise, index, scan and catalogue personal documents and estate-related papers. We also maintain a reference library explaining Malaysian succession paperwork vocabulary. We do not give legal advice, financial advice or tax guidance, and we do not assist with filing applications on anyone's behalf. All our work is administrative and custodial.
How long does the Personal Papers Sorting and Indexing take?
For up to 1,000 items, the work typically runs four to five weeks. This includes an initial intake meeting, sorting sessions at your location or ours, scanning, indexing and a handover walkthrough. Larger collections or scattered storage locations may extend this slightly, which we discuss before work begins.
Can I subscribe to the Terminology Library if I am not sure I need sorting or archiving?
Yes. The Terminology and Resource Library is a standalone twelve-month subscription and does not require you to use any other programme. Many families start there to understand the paperwork landscape before deciding what, if anything, needs organising.
Who holds the originals after a sorting engagement?
All original documents remain your property. After sorting and rehousing they are returned to you in labelled archival folders, together with a storage drive containing the digital register and scans. Heirlune does not retain physical originals beyond the working period.
What is the Multi-Generation Archive Programme suited for?
It suits families who want a record built to last — covering multiple generations of documents, photographs and correspondence — and who value ongoing maintenance rather than a one-time sort. The eighteen months include twice-yearly maintenance rounds, a shared permissioned archive for relatives in different locations and a written family record note describing each collection.
How is pricing structured and are there payment options?
The Terminology Library is RM 475 per year. Personal Papers Sorting is RM 1,650 for up to 1,000 items. The Multi-Generation Archive Programme is RM 4,600 for the full eighteen months. Payment plans for the longer programmes are available on request — please ask when you get in touch.
Do you work with families outside of Penang?
The Terminology Library subscription is fully remote. For sorting and archiving work, we are based in George Town and serve families in Penang and the surrounding region. We are open to enquiries from other parts of Malaysia; scope and logistics would be discussed on a case-by-case basis.
